Terms & Conditions

These terms explain what to expect when you book, attend, or pay for care with us — including our cancellation policy, payment terms, and the limits of what our website and services can promise.

A calm treatment room at Urban Wellness Clinic Langley, BC

Introduction

These Terms & Conditions ("Terms") govern your use of the services provided by Urban Wellness Clinic ("Urban Wellness," "we," "us," or "our") at 230 – 20385 64th Ave, Langley, BC, as well as your use of our website, urbanwellnessclinic.ca, and our online booking system.

By booking an appointment, receiving treatment, or using our website, you agree to these Terms. If you do not agree with them, please contact us before booking so we can address your concerns.

Our services

Urban Wellness Clinic provides physiotherapy, registered massage therapy (RMT), kinesiology, osteopathy, acupuncture, shockwave therapy, and related wellness services, delivered by regulated and qualified practitioners. Specific treatment plans are determined on an individual basis following assessment, and no particular outcome or recovery timeline is guaranteed.

Booking appointments

Appointments may be booked online through JaneApp, by phone, or in person. You agree to provide accurate and complete information when booking, including current contact details and, where relevant, insurance or claim information. We reserve the right to decline or reschedule a booking where appropriate, such as when a service is not clinically suitable for your stated condition.

Cancellations & no-shows

We ask that you provide at least 24 hours' notice if you need to cancel or reschedule an appointment. This allows us to offer the time to another patient.

  • Cancellations made with less than 24 hours' notice may be subject to a late cancellation fee.
  • Missed appointments without notice ("no-shows") may be charged in full at the practitioner's standard rate.
  • Repeated late cancellations or no-shows may affect your ability to book future appointments.
Note: late cancellation and no-show fees are generally not covered by extended health insurers, ICBC, or WSBC, and are payable directly by you.

Payment & billing

Payment for services is due at the time of treatment unless we have agreed to direct bill your insurer on your behalf. Where direct billing is used, you remain responsible for any portion of the cost not covered by your insurer, including deductibles, co-payments, or amounts exceeding your annual coverage limit.

We accept the payment methods displayed in the clinic. Prices for our services are subject to change; the rate confirmed at the time of booking or at the start of a treatment plan will apply to that visit.

Insurance, ICBC & WSBC claims

Where treatment relates to a motor vehicle accident or workplace injury, we will work with ICBC or WSBC in accordance with their respective program requirements. You are responsible for ensuring your claim is valid and active, and for promptly providing any claim numbers, authorizations, or documentation we request. If a claim is denied, delayed, or found invalid, you remain responsible for the cost of services already provided.

Limitation of liability

While we take care in providing our services, physiotherapy, massage therapy, and related treatments carry inherent risks, including temporary soreness or, rarely, more significant reactions. To the fullest extent permitted by law, Urban Wellness Clinic and its practitioners are not liable for indirect, incidental, or consequential damages arising from your use of our services or website. Nothing in these Terms limits liability that cannot be excluded under BC law, including liability for negligence causing personal injury where such exclusion is not permitted.

Clinic conduct

We ask that all patients and visitors treat our staff, practitioners, and other patients with respect. We reserve the right to end a treatment session or decline future service in cases of abusive, threatening, or unsafe behaviour toward staff or others in the clinic.

Website use

Our website and online booking tools are provided for the purpose of learning about our services and booking appointments. You agree not to misuse the site — including attempting to gain unauthorized access, submitting false information, or using the site in a way that could disrupt its operation for other visitors. Information on our website is provided for general guidance only and is not a substitute for individualized clinical assessment.

Intellectual property

The content on urbanwellnessclinic.ca — including text, images, logos, and design — is owned by or licensed to Urban Wellness Clinic and is protected by copyright and other intellectual property laws. You may view and share content for personal, non-commercial use, but may not reproduce, modify, or distribute it without our prior written consent.

Governing law

These Terms are governed by the laws of British Columbia and the applicable federal laws of Canada, without regard to conflict-of-law principles. Any disputes arising from these Terms or your use of our services will be subject to the exclusive jurisdiction of the courts of British Columbia.

Changes to these terms

We may update these Terms from time to time to reflect changes in our services or in applicable law. The effective date at the top of this page will always show when it was last updated, and continued use of our services after changes take effect constitutes acceptance of the updated Terms.
